This article is targeted towards Print&Share Desktop versions.
By default, every installation of Print&Share has its own set of profiles.
It is possible to set the Print&Share profiles on a shared folder, which is accessible for other Print&Share users.
Configuration
Set profiles centrally for all desktop users
- Go to General Configuration.
- Navigate to the General settings-tab.
- Under the Options-section, you will see Location of the profiles:.
The file path points to a local path e.g.:
C:\Users\<username>\AppData\Roaming\Print&Share\DispatcherConfigs.xml
. - To change this path to a shared folder on a server click the Edit-button.
- After changing the path to the shared folder, you will be asked how the profiles should be used on the local computer.
Select the default option: Use chosen file for all users on this computer. and click OK.
Note for Windows Terminal Server/Windows Remote Desktop: if you want to let all the users who are logged in on the Windows Terminal Server/RDC use the same set of profiles, make sure you select Use chosen file for all users on this computer..
- You can now close the General Configuration.
For the other Print&Share desktop installations, change the Location of the profiles: also to the shared folder, by repeating the previous steps.
Now every desktop user should be albe to use the same set of profiles, which are on a central shared location.
Set profiles locally again (stop using the shared profiles)
If you are using a set of shared profiles and you want to go back to to using your local folders, and thus stop using shared profiles, you can follow these steps:
- Go to General Configuration.
- Navigate to the General settings-tab.
- Under the Options-section, you will see Location of the profiles:.
- Click the Edit-button and change the path again to:
C:\Users\<username>\AppData\Roaming\Print&Share\DispatcherConfigs.xml
. - After changing the path, you will receive a dialog: There is already a 'profiles'-file available at the chosen location. What do you want to do:.
In this case, we select the option Load and use the profiles from the chosen location.
- Load and use the profiles from the chosen location.
By selecting this option, you will use the local set of profiles, and discard the set of profiles that you used from the shared location. - Overwrite the profiles at the chosen location with your current profiles:
By selecting this option, you will discard the local profiles and overwrite them with the set of profiles that you used from the shared location.
You will continue working with the same set of profiles from the shared location, but they will be stored locally and all changes from other users to the profiles on the central location will not reflect to your local profiles.
- You can now close the General Configuration.
- A restart of Print&Share could be needed.
Security: don't allow users to modify the profiles
When you store the profiles on a central location, making the profiles available for every Print&Share desktop user, it could be recommended to enable Print&Share Protection. Without security or protection enabled, every user can make changes to the profiles and this could result in unwanted behavior.
The idea is to enable the global protection, where there is an administrator who has permissions to modify the profiles when needed and the other users who don't have permission to change profiles.
Let's start with the global protection from the administrators account:
- Go to General Configuration.
- Go to the Protection-tab.
- In the Default permission settings-section, uncheck the options: Can add profile, Can edit profile, Can delete profile.
These are the default settings. - Enable the Enable global protection checkbox.
- Click the Add-button and add a user (e.g. an Active Directory Windows User).
By default this user should be the administrator. - Add other users or (Active Directory) groups, and restrict their permissions by clicking the Edit-button.
- Click OK to close the General Configuration.
Changes for other users will only be applied after Print&Share is restarted. (Rebooting a Windows pc or completely logging out the Windows user also has the same effect).
Print&Share Protection could be further configured to enhance security, but this is out of scope for this article.
